Functional Skills Booking

Learn about how to book Functional Skills exams - paper, online, or remote - using Verve.

To begin the exam booking process, navigate to the Examinations tab within the system. This section will display all learners who are currently registered for Functional Skills qualifications, allowing centres to manage and organise exam bookings accordingly.

Reasonable adjustments

Where a learner requires a reasonable adjustment, the learner must first be selected within the Examinations section by ticking the relevant checkbox next to their name. Once selected, choose the “Reasonable Adjustment Request” option. At this stage, the learner’s profile will become temporarily locked and cannot be booked onto an examination until the adjustment request has been reviewed and approved.

The centre must then complete and submit the Reasonable Adjustment Request Form, which can be accessed from the homepage of the system. Upon submission, the request will be reviewed by the Operations team, who will communicate the outcome via email. Once approval has been granted, the learner’s profile will automatically become unlocked, enabling the examination booking to proceed.

Booking exams

When booking examinations, centres should select all learners who are due to sit the same subject examination, for example, mathematics. Please note that English and mathematics examinations cannot be booked together within the same booking group and must be processed separately.

Once the relevant learners have been selected, click “Add to New Group” to create a new examination batch for those learners. After creating the group, a Batch Name must be entered. This should be a clear and identifiable reference for the booking, such as “Chris Maths Demo.”

The appropriate examination type should then be selected, for example, maths Level 2 – Remote. Centres must also specify a provisional examination date and time. For on-demand exams, you can book the same day if needed. However, paper-based examinations must be scheduled at least 10 working days in advance to allow sufficient time for processing and delivery.

It is essential that each learner has a unique email address recorded within the system, as this is required for examination validation and communication purposes.

Centres are also required to provide a Centre Admin Email Address as part of the booking process. This should be a generic organisational email address, such as exams@yourorganisation.org, rather than a personal email address. Please note that the nominated Centre Administrator cannot also act as the invigilator for the examination.

Once all required details have been entered and checked for accuracy, click “Book Examinations” to submit the booking.

Following submission, the examination batch will update automatically within the system and the learners’ statuses will change to “Pending Exam.”

Once the booking has been reviewed and accepted, learners will receive an email containing their examination instructions and relevant login details required to access their examination.
