Learner Registration
Registering learners for Functional Skills qualifications must be done through Verve.
Choosing the qualification
Start by navigating to ‘Register Learners’ and selecting ‘Registering for Functional Skills’. In the programme title search field, type the keyword “functional.” This will generate a list of all courses in the database that include “functional” as a keyword. Select the appropriate course from the list and click ‘Proceed’. This will take you to the booking details screen.
On the booking details page, you must assign both an Assessor and an Internal Quality Assurer (IQA). These roles must be assigned to two different individuals, as an assessor cannot assess their own work. After entering the required information correctly, click ‘Proceed’.
Uploading individual learners
You will then be taken to the learner registration screen. Complete all required fields marked with an asterisk (*). Once the learner’s details have been entered, click ‘Save and Add Learner’. The learner will appear in the list and will be ready to be booked onto the course. If a mistake is made at this stage, you can remove the learner by clicking the ‘X’ next to their name. However, it is essential to carefully check all details before clicking ‘Proceed’, as once you proceed, the learner cannot be deleted from the booking.
If a learner is already enrolled on another course and needs to enrol on a different programme, select the ‘Existing Learners’ tab and choose their details from there instead of creating a new learner record.
Bulk uploading learners
When registering a large group of learners, you may use the bulk upload feature by selecting ‘Import CSV File’ and following the on-screen instructions. Download the empty CSV template provided, complete all required fields marked with an asterisk (*), and save the document as a .csv file. The system will not accept any other file format. Once saved correctly, upload the completed template back into the system and follow the remaining steps.
Final steps
If you are satisfied with the booking details, click ‘Proceed’. If a learner requires a hard copy of their certificate, ensure that the ‘Go Paperless’ option is unticked.
You will then need to select a payment method. All learners included within the same booking must be paid for using the same payment method. If different payment methods are required, separate bookings must be created for each learner.
Finally, click ‘Proceed’ to complete the registration process. Ensure that all sections of the booking screen are highlighted in green, as this indicates successful registration. If any section appears in red, the learners are not fully registered, and the issue must be resolved before the process can be completed.
After registration has been completed, the EQA team will review the booking and will contact you if any amendments or corrections are required.
