Maintenance and Monitoring

Once your endorsed course is approved, effective maintenance and monitoring are crucial to ensure continued compliance and quality assurance. Below, we outline what’s included in the fees, how we store your course information, the review process, and more.

What's included in the fees 

The fees for endorsed course applications cover the following services: 

  • Full endorsement after approval: TQUK endorsement remains valid as long as the annual fee is paid. 
  • Annual review for CLCs: includes scrutiny of learner work examples, advertising on websites and social media, assessment samples, curriculum or lesson plans, and the qualifications/experience of teaching staff delivering the courses. 
  • Biannual review for PDLCs: includes scrutiny of learner work, advertising, and staff qualifications. 
  • Ongoing support: access to our Qualifications Team for guidance throughout the year. 
  • Two course submissions per year: centres can submit up to two courses for approval each financial year as long as fees are paid. If amendments are required, no additional charge is made unless the submission fails.

Storing your course information 

Once you submit an application, we process personal data strictly for that purpose. TQUK retains copies of approval letters and certification templates in line with our data retention policies, which comply with GDPR. Data is only retained as long as necessary and securely deleted once it's no longer required. 

Course reviews 

As part of our ongoing quality assurance process, centres will be contacted to provide documentation to support the continued delivery of their endorsed courses. This review ensures that the course remains compliant with the endorsement criteria and meets the required standards for quality learning. 

When it’s time for your review, you will receive an email from TQUK requesting the following documentation: 

  • Learner work samples from your current cohort (e.g. name one, name two, name three). 
  • A link to your course advertisement (websites and/or social media). 
  • Any updated training or professional development undertaken by teaching or delivery staff. 
  • Any issues or concerns you may have experienced in relation to the course content, learning outcomes or assessment criteria, including any potential changes you wish to address. TQUK can provide supportive feedback and guidance on this if required. 

You will be asked to return the learner's work/evidence, materials, and links by a specified deadline. The Qualifications Team will then conduct a quality assurance review of your course. If you have any questions during this time, you can reach out to us for clarification. 

Ending endorsement 

A course may lose its endorsement for several reasons: 

  • Voluntary withdrawal: if a centre wishes to discontinue an endorsed course, they must notify TQUK in writing. The centre has 48 hours to submit final certificate requests, after which no further certificates will be processed. All marketing materials related to the course must be removed within 48 hours. 
  • Withdrawal due to no learner certifications: if a course has not been certificated for two years, it may be withdrawn. Centres will be given notice and time to submit final certification requests. 

Maladministration and malpractice 

If a centre is found engaging in malpractice or maladministration, including misleading learners, all endorsed courses will be removed. The Qualifications Team will investigate the allegations, and if the claims are substantiated, the endorsement will be revoked. The centre will be notified in writing and must remove any references to TQUK from their course materials and marketing within 48 hours. Ongoing monitoring will ensure compliance.
