Booking, Registration & Results

TQUK has built new processes to ensure learners and centres are best prepared for the entire apprenticeship journey as apprenticeship assessment reform rolls out. The guidance below will help ensure centres and learners are prepared, whichever TQUK model may be chosen. 

Apprenticeship assessment models at TQUK

To help navigate the new apprenticeship assessment reforms, TQUK is introducing two new models centres can choose from: TQUK Together and TQUK Managed.

TQUK Together is a shared delivery model. With TQUK Together, approved centre assessors can complete specific centre-assessed components. TQUK will continue to manage and complete TQUK-assessed components.

Opting for TQUK Managed means TQUK manages the assessment activity in line with the requirements of the standard and assessment plan.

Centres must select the correct model on Proficient when the learner is registered. Centre administrators can book approved centre assessors to complete centre-assessed components under the TQUK Together model.

This will also be completed through Proficient. Centre guidance documents will be provided to support users with system navigation and the booking process.

Only approved centre assessors should be selected for centre-assessed components.

Selecting assessment models

If the wrong assessment model is selected, this may affect the learner’s assessment journey, component availability, and booking process.

Please contact TQUK as soon as possible if you believe a learner has been registered against the wrong model, standard, or specialism. The record may need to be reviewed before any assessment activity takes place. This may be possible in some circumstances, but it will depend on the learner record, assessment activity already completed, and the requirements of the standard.

Please contact TQUK before making or requesting any changes to the learner’s assessment model. If the Pre-Assessment Checklist is incomplete, TQUK may not have enough information to arrange the TQUK-assessed component. This could delay assessment bookings.

Please also ensure all mandatory sections are completed, including preferred dates, dates to avoid, assessment location details, and any relevant service delivery or reasonable adjustment information.

TQUK-assessed component under the TQUK Together model

Under the TQUK Together model, TQUK or the Assessment Bookings Team will book the TQUK-assessed component.

This booking will be based on the information provided in the Pre-Assessment Checklist.

Centre-assessed components

Under the TQUK Together model, Proficient shows the components that are available for centre assessment and booking.

Centres should only book components that are live and available for centre assessment within the platform.

If a component is not available to book, it may not be a centre-assessed component or it may not yet be open for booking.

Allocating learners to centres

Centre administrators can allocate learners to approved centre assessors through Proficient.

This is completed using the Book' function on the left-hand menu. The learner and available components will appear in the booking area, allowing the centre administrator to book the relevant component with an approved centre assessor.

Only components available for centre assessment should be booked to centre assessors.

Learner registration

Learner registration remains the same as standard practice.

Learners should be registered through Proficient, and the relevant apprenticeship standard should then be selected.

Please ensure learners are registered against the correct:

    • Standard.
    • Pathway or specialism, where applicable.
    • Assessment model, for example TQUK Together or TQUK Managed.

Selecting the correct model at registration is important, as this affects the assessment journey, booking process, and who is responsible for completing certain assessment activities.

Booking individual components

To book a component on Proficient, complete the following:

  1. Click 'Book'.
  2. Select the checkbox for the relevant assessment component.
  3. Click the 'Actions' menu icon.
  4. Click 'Start Booking'.
  5. Expand the assessment component.
  6. Select the approved administrator or centre assessor.
  7. Select the relevant timeframe. For the Pre-Assessment Checklist, this can usually be the date the checklist is being completed.
  8. Move through the booking screens and add information where required.
  9. Click 'Request Component Bookings' and then 'Notify'.

                    Please ensure the correct component and assessor are selected before submitting the booking request.

                    Post centre-assessed components

                    After a centre-assessed component is completed, the centre assessor should add the result, feedback, and any required supporting information in Proficient.

                    The component may then be subject to quality assurance before the assessment decision is confirmed.

                    Once all assessment components have been completed, results have been added, and quality assurance has taken place, Gateway to Completion can be completed.

                    After Gateway to Completion has been submitted and accepted, the learner record can progress towards certification, where applicable.

                              Reasonable adjustments procedures

                              Reasonable adjustments for centre-assessed components should ideally be added at the results stage for the relevant centre-assessed component.

                              To add reasonable adjustments:

                              1. Click 'Add Result'.
                              2. Select the grade category.
                              3. Select the grade outcome.
                              4. Expand the 'Reasonable Adjustments' section.
                              5. Click 'Add Adjustments'.
                              6. Add details of any reasonable adjustments applied to the centre-assessed component.
                              7. Save the result.

                                            Please ensure the information is accurate and clearly reflects the adjustments applied.

                                            Guidance for submitting results as assessor centres

                                            Centre assessors are required to add results for assessment components they have assessed.

                                            For centre-assessed components, Centre Assessors may need to add the following:

                                            • grade outcomes
                                            • assessment decisions
                                            • feedback
                                            • supporting comments
                                            • quality assurance information, where required.

                                                    All results should be completed fully and accurately in Proficient.

                                                    Receiving results letters

                                                    Once the learner has been certificated on Proficient, the Record of Achievement function will become available.

                                                    To access the results letter:

                                                    1. Open the learner record in Proficient.
                                                    2. Click View Profile.
                                                    3. Check the learner’s record.
                                                    4. Click the download button to view or download the completed letter.
