Staff Approval
This guide is intended to help centres successfully gain approval for new assessment staff, including Assessors and Internal Quality Assurers (IQAs). Providing the correct information and evidence from the start helps avoid delays, reduces the need for follow-up queries, and ensures staff can begin supporting learners as quickly as possible.
Getting started
To request approval for a new member of staff, complete the Staff Approval Request Form available on the TQUK website.
When completing the form, please ensure all personal and professional details are accurate and up to date, including:
- full name
- contact information
- job role
- relevant qualifications and experience.
Providing accurate information at this stage helps the Quality Team review the request efficiently and minimises the need for additional checks.
Assigning standards and roles
You will be asked to select the standards the staff member will be working on and assign the appropriate role for each one.
Please ensure the selected role reflects the individual's experience and qualifications. Choosing standards or roles that are not supported by suitable evidence may lead to delays while further information is requested.
Uploading competency evidence
The Competencies section is one of the most important parts of the approval process. This is where you provide evidence to demonstrate that the staff member has the skills, knowledge, and qualifications required for their role.
Typical evidence includes:
- an up-to-date CV detailing relevant industry and assessment experience
- qualification certificates
- any subject-specific qualifications or competency certificates relevant to the standards selected.
To help speed up the approval process, please ensure all documents are:
- clear and legible
- current and valid
- uploaded in full.
Taking a few extra moments to check your documents before submission can help prevent unnecessary delays.
Submitting requests
Once all sections of the form have been completed and the supporting evidence has been uploaded, you can submit the request for review.
The form will be sent directly to the Quality Team, who will assess the information provided. In most cases, reviews are completed within 24 hours.
Additional information requests
Occasionally, the Quality Team may need further evidence before approval can be granted. If this happens, they will contact your centre by email with clear guidance on what is required.
Simply gather the requested information and send it to the Quality Team for review. Once the required evidence has been received and confirmed, the staff member can be approved for their requested standards.

Completing the form carefully and providing all required evidence at the outset helps ensure assessment staff are approved as quickly as possible, enabling them to support learners without unnecessary delays and making the process smoother for everyone involved.
