Bookings, Resits & Cancellations
Overview Guidance for providers on how End Point Assessments are scheduled after Gateway approval, how to request a resit or reschedule, what happens with cancellations, and how to manage a Pause in Learning.
Arranging bookings after Gateway
Once TQUK approves a learner at Gateway, the Bookings Team schedules each EPA component using the availability, location preferences, and individual requirements submitted at Gateway, all in line with the assessment plan for the standard.
Bookings are completed within one working day of Gateway approval. Please ensure that you provide preferences and dates to avoid in the Gateway notes or upload a clearly named document to the learner EPA profile with dates, times, and requirements so the team does not miss it.
Rescheduling
There are two ways to reschedule a booking once it has been confirmed:
- Contact the allocated assessor directly to agree an alternative date
- Submit the Resit or Reschedule Form.
If you have submitted the Resit or Reschedule Form, your request will be processed within one working day. All mandatory fields must be completed for acceptance. Typically, the same assessor remains assigned.
To request a different assessor, add the request in Additional Information on the form and include a reason. Allocation is subject to availability and suitability.
Resits
Some assessment plans set a defined resit window. If the window is missed, previously completed components may be voided, and the apprentice may need to retake the full EPA. Where a window is described as ‘typically’, TQUK allows a one-month extension if the original request was made within the standard window.
For MCQ and SJT exam resits, all invigilation details must be complete, or the request will be rejected. There is a three-working-day notice period for online exams and a five-working-day notice period for paper-based exams. For TQUK-invigilated on-site exams, dates depend on assessor availability. You do not need a confirmed date on the form. Please ensure you have listed preferred dates or dates to avoid.
Cancellations and Pauses
If an EPA component is cancelled, the booking is reviewed on the next working day. If a new date has not been agreed, the Bookings Team will reschedule to the next available slot, with at least five working days' notice, and keep the same assessor wherever possible.
To pause an apprentice’s learning, please submit the request to epasupport@tquk.org. When the learner is ready to return, the training provider needs to submit the Resit or Reschedule form. This is taken as confirmation the learner is ready, and the Bookings Team will process the return.
