Conflict of Interest

Definitions 

A conflict of interest can arise when someone’s personal, professional, or organisational interests could influence—or be seen to influence—their judgement. This applies to anyone working for or on behalf of TQUK, including contractors and third parties. 

All staff and relevant third parties are asked to declare any conflicts of interest when they start working with us. These declarations should be kept up to date and reviewed at least once a year, or sooner if something changes. If a declaration is missing or out of date, work may need to pause until this has been resolved. 

Where possible, we aim to avoid conflicts altogether. That isn’t always practical, so when they do arise, we take steps to manage them effectively. This might involve reassigning work or putting additional checks in place. 

For some activities—such as investigations, appeals, or confidential casework—independence is essential and cannot be compromised. 

Responsibilities 

Everyone has a role to play. Managers, teams, and the Leadership Team are responsible for identifying, recording, and reviewing conflicts, and for making sure appropriate action is taken where needed. We maintain formal registers for both personal and organisational conflicts, which are reviewed regularly. 

Even issues that seem minor should still be declared. It’s always better to record something early and decide it isn’t a concern than to overlook it completely. 

Recognised centres are expected to have their own arrangements in place for managing conflicts of interest. They should be able to identify and manage conflicts in their delivery of TQUK qualifications and provide evidence of this during quality assurance activity if required.  

It is important that stakeholders are transparent about potential or actual conflicts of interest, so appropriate controls and mitigations can be implemented. 

If a potential breach of this policy is identified, it should be reported to the Compliance Team as soon as possible. It will be reviewed and, where appropriate, investigated. In some cases, this may involve independent oversight to ensure fairness.
