EQA Activities

At TQUK, we understand how important timely certification is for your learners and your organisation.

One of the things that sets us apart is our ondemand sampling approach, which gives you the flexibility to claim certificates as soon as you are ready. There’s no need to wait for set sampling windows – you stay in control, and we take care of the rest. 

Submitting a claim 

Once your centre has completed its internal quality assurance (IQA) checks and you’re confident that assessments are complete and compliant, you can go ahead and claim the learner’s certificate through the Verve system. Claims can be made at any time, making the process fit around your delivery rather than the other way around. 

The next working day, our EQA Delivery Team will process the claim. As part of this, they’ll get in touch with your centre to request a sample of learner evidence. The size of the sample will depend on a few factors, such as the number of learners, the qualification being delivered, and the internal risk rating linked to that qualification. This helps make sure the sampling process is fair, proportionate, and focused on maintaining quality. 

Sampling and moderation 

Once your centre has submitted the requested evidence, it will be allocated to an External Quality Assurer (EQA) for moderation. From the date we receive the evidence, a 10-working-day service level agreement (SLA) begins. This means moderation is completed promptly, while still allowing EQAs the time they need to carry out a thorough and consistent review. 

The EQA will then review the evidence and complete a moderation report. If everything meets the required standard and no actions are needed, the report will be returned as action‑free and the learner’s certificate will be issued without delay. This is always our aim, and it reflects good assessment and robust internal quality assurance within your centre. 

Reports, actions, and certifications 

Sometimes, the EQA may identify actions that need to be addressed. If this happens, the report will be sent back to your centre with clear and practical actions, along with timescales for completion. These actions are not about fault‑finding; they are there to support improvement and ensure standards are met consistently. In most cases where actions are raised, learners will not be certificated until those actions are completed. However, there may be occasions where actions relate to processes rather than learner outcomes, and in these situations, certification may still be permitted. Where this applies, it will be clearly explained in the report. 

Every report also includes a recommendations section, offering helpful suggestions to further strengthen your delivery and assessment practice. In addition, EQAs highlight areas of good practice so positive work can be recognised and, where appropriate, shared more widely with other centres.

It allows you to move at the pace that suits your learners, while giving you confidence that quality is being maintained throughout.
