Online Exams (Functional Skills)

Learners complete their exams online using Saras, our bespoke exam platform. All exams must be taken in a controlled environment and are invigilated in person by approved centre staff.

Before the exam 

Once an exam has been booked, the learner and invigilator will receive a booking confirmation email. This email includes: 

  • a link to the relevant exam platform 
  • the learner/invigilator’s login details 
  • important guidance to support exam preparation. 

The important guidance documents outline the system requirements and provide instructions for setting up and taking an online exam. Both learners and invigilators are strongly encouraged to read them fully before the exam. You can also find links to them below: 

Invigilators are assigned to bookings, and their platform accounts are created with login details sent to them. These credentials remain consistent across future exams unless updated. 

When an invigilator is assigned to any exams, they will receive a booking confirmation email. This email includes a link to access the relevant invigilator platform. Please note Functional Skills and End Point Assessment exams use different platforms: 

Preparing your device 

Learners/apprentices must ensure that: 

  • Google Chrome is installed on their device 
  • the secure browser is downloaded 
  • the System Check Test has been completed before the exam.

Invigilators must log in to the relevant invigilator platform and admit the learner to the exam. Instructions how to admit learners is detailed in the guidance documents. Once the learner has been admitted, the learners can then log into the platform using their link and log in details sent in the booking confirmation email.  

Practice and support 

Once a learner/apprentice has successfully logged in to the exam platform, they will find practice tests available to help them familiarise themselves with the exam system's functionalities and tools. 

We strongly encourage learners to watch this video, which explains the easiest ways to avoid a void. The video also plays in the exam system before the exam begins.

Common troubleshooting  

  • Invigilator login issues: Use the email provided at booking, reset the password if necessary, or contact support at support@tquk.org. 
  • Missing learner exams: Double-check email addresses (both invigilator and learner), ensure correct emails are used when searching for exams. 

After the exam 

Invigilators must complete and submit a report within 24 hours of the exam. This is essential; failure to do so results in a voided outcome for the learner. Once the exam has been submitted, the invigilator must complete the online invigilation form immediately to confirm that the exam was conducted in accordance with assessment requirements. 

Completing the Invigilation Form 

After the exam, please ensure that you complete Invigilation Form using the steps below. 

  1. Log in to the invigilator form using the applicable link for the type of exam (Functional Skills). 
  2. Once logged in, click 'Exam Monitoring System' on the left-hand side, and then click 'Invigilation Form'. 
  3. Select your centre name from the drop-down menu, then expand the date range to the date when the exam was booked. 
  4. Use the learner’s email address to log in to this section, and then click ‘Load Batch’. 
  5. Select the correct batch from the drop-down menu and click 'View'. This will load the Invigilation Report that must be completed. 
  6. Complete the form, and then click ‘Save’ at the bottom.
